So, what is the Visitor Management platform?

We built this product with the goal to remove the errors associated with manual or complex concierge systems. Initially being used by businesses as a COVID-19 check-in tool, we expanded the platform’s functionality to deliver a comprehensive guest booking system.

The Visitor Management system is cloud-based, enabling businesses to streamline the end-to-end process from pre-registering guests, to checking them in, with meeting organisers receiving arrival status updates in real time.

What are the benefits?

We’re still expanding the product and adding more features for our customers all the time. Here are the current features available:

Real-Time Visitor Register Panel: Gain oversight and control over all visitor bookings for the day, arrivals and departures via a central panel, with real-time updates.

Group Bookings: Manage group bookings with the ability to check individuals in separately by splitting the booking if people arrive at different times.

Watchlist: Create a list of people that are known VIPS or potential security threats, with internal notes and the ability to upload photos for security/reception to take appropriate steps when they arrive.

Remote concierge setup: Visitors can select the contact they are meeting with from a dropdown box, and then notify that person directly via SMS when and where they have arrived in the building.

Instant SMS announcements: Deliver an SMS to everyone currently checked in to a location.

Real-Time Self Service Portal: Set up the panel on a shared mobile, tablet, and/or desktop computer for people to manage their own check-ins.

Visitor Register Dashboard: Centralised overview of historical visitor data, with the ability to export and download at any time.

How does it work?

There are several ways to make use of the platform, and it’s all dependent on the business and how they’d like to manage their bookings.

Businesses have the option of checking someone in manually, guest self-checkin with use of communal tablet or QR codes for guests to scan with their own devices.

Additionally if there is no dedicated concierge or reception area, visitors can select the contact they are meeting with from a dropdown box, and then notify that person directly via SMS when and where they have arrived in the building.

Firstly, here’s a step-by-step guide on how to make a booking:

  1. To create a booking, staff member enters in their information and contact details.
  2. They then select their preferred contact method (SMS and/or email).
  3. Staff member provides meeting details e.g. location of meeting, agenda etc
  4. Booking is created and made visible in the real-time panel, labelled as 'Expected' on the day of the meeting.

Here's what happens when a visitor arrives for their meeting:

  1. Visitor arrives at the time of meeting and checks in at the concierge desk.
  2. Staff member verifies visitor check in and notifies the meeting organiser.
  3. Meeting organiser receives an SMS and/or email letting them know their guest has arrived, and where they are waiting.

Who is it for?

The platform is customisable to suit any type of business that requires an online booking or guest management and record-keeping system, scalable to any size. Businesses have the ongoing ability to customise the platform to suit their requirements, and request additional features if there is something missing for their use case.

Who’s using it?

The Parliament of Victoria uses Comply Group’s purpose-built visitor platform for every aspect of on-site visitor coordination, from meeting bookings to live watchlists.

Parliament of Victoria required a digital system to meet their specific entry requirements. The software needed to be mobile-friendly and simple to use, with the ability to access the data securely anywhere, any time.

Those working within the building can now easily inform the organisation of their guests and receive notifications upon their arrival. Security and reception can also keep accurate demographic record of tourists and other guests that enter the building.
